Position Summary

Panorama Global is seeking a Talent Acquisition, Onboarding & Office Operations Generalist for two jobs that fit together. The first is how people join Panorama, from the first conversation with a hiring manager through a new hire's first 90 days. The second is keeping Panorama's New York office and events running well, so staff and visitors have a reliable place to work and meet.

This role runs full-cycle recruiting in UKG, executes onboarding, manages HR communications, runs day-to-day operations of the New York office, and supports event logistics, including the annual offsite. As part of the People & Culture Team (PACT), the role reports to the Senior Talent Manager, who owns leveling, job description standards, onboarding design, and offsite design and outcomes. It partners with the People Operations Manager, who owns UKG and compliance, and with the People Systems & Programs Specialist on UKG onboarding and recruiting workflows. For New York office and event responsibilities, the role reports dotted-line to the Vice President, Social Impact, who leads Panorama's New York hub.

This is an exempt, full-time position based in New York, NY, with a hybrid schedule of three in-office days per week. Because this role supports events and new-hire onboarding, you should expect to work additional in-office days or evenings a few times per year (currently about 2-3 receptions or similar events), plus a week-long offsite event in Seattle each spring. As our New York office grows, event support may increase. We schedule these well in advance whenever possible.

If you think you have what it takes but don't meet every point listed below, please apply—you could be exactly who we are looking for!

Essential Duties & Responsibilities

Talent Acquisition
  • Manage full-cycle recruiting for assigned roles in UKG Recruiting: hiring manager intake, job postings, sourcing, screening, interview coordination, offers, and candidate communication.
  • Partner with hiring managers and the Senior Talent Manager to clarify role requirements and level, and apply structured selection practices such as screening rubrics, phone screen guides, and interview scorecards.
  • Maintain a pipeline for recurring roles. Track time-to-fill, source effectiveness, and pipeline diversity, and use the data to improve the process.
  • Support offer development and pre-employment requirements, including reference and background checks, and hand off cleanly to onboarding.
  • Maintain current job postings and job descriptions in partnership with the Senior Talent Manager.
  • Support fee-for-service recruitment pilots as scoped.
Onboarding
  • Execute new-hire onboarding: pre-boarding, I-9 coordination with People Operations, UKG onboarding workflows, system access and equipment coordination, and orientation logistics.
  • Prepare the New York office for new hires, including desk, access, and equipment, and welcome them on their first day.
  • Facilitate new-hire orientation and check-ins through the first 90 days. Collect new-hire feedback and flag improvements to the Senior Talent Manager.
  • Coordinate with the HR Coordinator, Sponsored Projects, on sponsored-project hires.
HR Communications
  • Draft and coordinate employee communications on PACT programs, policies, benefits, deadlines, and organizational updates.
  • Own the HR content calendar, including Viva posts and recurring HR communications. Partner with Business Systems & Operations on platform needs.
  • Translate complex or operational information into clear, practical guidance, so employees understand what is changing and what they need to do.
Office Management (New York Office)
  • Keep the New York office running day to day: order and maintain supplies, inventory, and equipment; check the mail room and distribute mail and packages; keep common areas neat and tidy.
  • Serve as the main contact for building/office management and vendors for routine maintenance, access, and service requests.
  • Manage visitors: coordinate the guest list; greet guests; support the guest experience; and maintain and update the visitor guide.
  • Manage room booking and hot-desk reservations; set up and break down meeting spaces; and facilitate technical and AV troubleshooting with office management.
  • Maintain and update documented office guides and procedures and keep emergency and safety information current.
  • Other duties as assigned as the New York office evolves.
Event Support
  • Manage logistics for in-office and internal events, such as all-staff gatherings, Connect Days, lunches, and partner events: timelines, budgets, vendors, registration, and on-site support.
  • Support logistics for the annual Panorama offsite and other seasonal events, in partnership with the Senior Talent Manager, who owns the offsite's design and outcomes.
  • Support externally facing events hosted from New York as scoped with project leads and executive sponsors.
  • Evaluate events and prepare post-event summaries and recommendations.
HR Operations Support
  • Maintain HR templates and employee-facing resources.
  • Support hiring-related compliance, including EEO requirements, I-9 documentation, required postings, and new-hire reporting, across multiple states and EINs, in partnership with the People Operations Manager.
  • Keep recruiting and onboarding data accurate in UKG. Refer employee relations and leave questions to the Senior Talent Manager and People Operations Manager.

Organizational Engagement & Participation

Actively embodies Panorama's values and contributes to a healthy, mission-driven culture — participating in team and organizational initiatives, engaging across the organization, and representing Panorama with credibility externally. Brings curiosity and a continuous improvement mindset to their work, identifying opportunities to strengthen processes, practices, and knowledge sharing. Maintains personal compliance with all applicable laws, organizational policies, and regulatory requirements. Provides timely, accurate inputs to organizational systems, reporting, and co-design efforts as needed.

Typical Knowledge, Skills and Abilities

  • 5+ years of progressive experience in talent acquisition, HR generalist, or people operations roles, including full-cycle recruiting and onboarding exposure.
  • Experience running structured selection processes, including interview design, scorecards, and offer development.
  • Experience managing office operations, vendor relationships, or event logistics, alone or as part of a broader role.
  • Working knowledge of employment law fundamentals for hiring and onboarding (EEO, FLSA, I-9, state requirements) across multiple states.
  • Experience with an applicant tracking system or HRIS (UKG preferred) and comfort with data hygiene and reporting.
  • Strong written communication skills and the ability to explain HR information clearly and practically.
  • Strong judgment, discretion, and the ability to handle confidential information.
  • Ability to manage multiple searches, office needs, and event deadlines independently, and to reset priorities when a hiring deadline takes precedence.
  • A welcoming, professional presence with staff, candidates, and visitors.

Preferred
  • HR-focused certification (HRCI, SHRM, or other)
  • Experience in a nonprofit, mission-driven, multi-entity, or geographically distributed organization.
  • Experience planning events of various sizes, including multi-day staff gatherings.
  • Experience building manager tools, onboarding programs, or internal communications.
  • Experience improving or redesigning HR or office processes rather than only administering them.

Success in This Role

Candidates get a clear, timely process. Hiring managers get structured support and know where each search stands. New hires know what to do and who to ask during their first 90 days. HR communications are clear, practical, and on time. The New York office is stocked and welcoming, and it runs without staff stepping in to cover it; events are delivered on time and on budget. We measure success through time-to-fill, hiring manager and candidate feedback, onboarding completion, new-hire experience scores, office issue turnaround, and event feedback.

This job description may change as our team continues to grow and evolve — we hope you'll be excited to evolve with us as we scale and increase our impact.

Working Conditions

This role is performed in Panorama's New York hub office three days per week, with standard lighting and noise levels, and includes some remote work under Panorama's hybrid schedule. Panorama can make reasonable accommodations to enable individuals with disabilities to perform essential functions.

  • Sitting/Standing/Mobility: Approximately 30% of time is spent standing or moving between work areas. The balance of time (approximately 70%) is spent sitting at a desk or in meetings.
  • Occasionally exert up to 20 pounds of force to lift, carry, push, pull, or otherwise move objects such as office supplies and event materials.
  • Repetitive motion. Substantial wrist, hand, and/or finger movements. Close visual acuity is required for activities such as viewing a computer screen, managing calendars, and extensive reading.
  • The ability to communicate information and ideas in English so others will understand, and to exchange accurate information in these situations.
  • Good manual dexterity for computer keyboard use and the ability to retrieve and work with paperwork, equipment, and supplies.

Your decision to complete the form and your answer will not harm you in any way.
