Position Summary 

Our dynamic team at Panorama seeks a Systems & Operations Coordinator to contribute to the smooth functioning and efficiency of our organization in a time of change and growth. We are looking for a detail-oriented, tech-savvy problem solver who values being part of a team. Reporting to the Senior Business Systems and Operations Manager, this position will be a part of the Finance & Operations team but work across all departments at Panorama. 

This is a full-time non-exempt position with a hybrid schedule working at Panorama’s office in Seattle, Washington a minimum of three days per week. The remainder of time can be worked remotely. 


 

Essential Duties & Responsibilities 


Operations Management & Systems Support 

  • Triage systems support requests from internal staff 

  • Manage new user account set up and deactivation 

  • Manage and update software and hardware inventories 

  • Support updates to Panorama’s Intranet and the development of knowledge management processes and governance practices 

  • Draft and maintain regular documentation of systems, processes, and training guides 

  • Manage regular updates and maintenance of Panorama’s Resource Portal, an external hub for fiscally sponsored partners 

  • Manage billing and inventory of subscriptions and software licenses and ensure expense allocation to correct program/budgets 

  • Support administration of subscriptions and software licenses for staff 

  • Manage regular Salesforce data clean up and data import/export requests and assist with updating Salesforce records to ensure data hygiene of our CRM 

  • Lead systems trainings for new employees during onboarding 

  • In coordination with the Senior Business Systems & Operations Manager, support the review of new systems implementations/projects through research, coordination, notetaking, and project management as needed 

  • Assist with semi-annual security trainings 

  • Provide ad hoc operational and administrative support as needed 


 

Administrative Support 

  • Provide in-office IT support (including troubleshooting issues with printers, Wi-Fi, video conferencing) and coordinate with Panorama’s external IT service provider as needed 

  • Oversee and assist staff in the use of ‘hot desks’ and room booking 

  • Support coordination of in-office events    

  • Collect office mail and distribute it to appropriate staff, including collecting and depositing checks 

  • Coordinate with the People & Culture department and Panorama’s external IT service provider to collect and distribute equipment during employee on- and offboarding  

  • Coordinate with the building facilities as needed for maintenance  

  • Manage key & keycard inventory  

  • Serve as backup to the Senior Administrative Assistance when they are out of office

Typical Knowledge, Skills, and Abilities 
 

Education & Experience 

  • Bachelor’s degree and a minimum of three years of relevant experience in operations, IT, customer service, project management, or related field   

  • Interest in business operations, process improvements, troubleshooting, as well as software applications and systems used by non-profits 

  • Familiarity with Salesforce or other CRM  

  • Working knowledge of Microsoft Office products (and Excel in particular) 

  • Fluency in written and spoken English

  • Ability to take initiative, problem-solve and work both independently and in a collaborative environment 

  • Experience balancing competing priorities, adapting to changing deadlines or priorities, and identifying when to escalate an issue 

  • Ability to work directly with staff and translate technical terminology in simple language

Desired Qualifications 

  • Bachelor's degree in business administration, non-profit administration, information technology, or other relevant fields, or equivalent work experience 

  • Experience in a support role and/or IT support and has a passion for technology 

  • Experience with Microsoft 365 and Asana encouraged 

  • Additional language proficiencies welcomed

Compensation & Benefits 
 

The starting salary for this role is between $62,000 and $68,000.  When determining an initial offer, we carefully consider these factors: candidate skill and experience; room for growth within the band; and internal equity across the team.   

Alongside salary, we offer a comprehensive benefits package including:   

  • Flexible paid time off - no caps or accruals     

  • 16 paid holidays per year     

  • Up to 100% employer-paid monthly premiums for employee medical coverage (depending on plan selected)     

  • 401(k) safe harbor plan, with employer contribution equal to 3% salary with immediate vesting
